Overview

We are seeking proposals for the supply, implementation, and ongoing support of a new Customer Relationship Management (CRM), programmes, and grant management system.

The system will need to support contact and account management, programmes and grants administration, event and conference management, advocacy and communications, reporting and analytics, and integrate effectively with office productivity and digital marketing tools.

Suppliers are asked to propose a suitable software solution, outline their implementation approach (including project management, data migration, training, and risk management), provide licensing and support models, and supply details of relevant experience, staff, references, and indicative costs.

Please note the spreadsheet of indicative costs included in Appendix A of the RFP which must be completed. In order to access the embedded attachments throughout the documents you will need to download both to your computer.

The tender on Contracts Finder shows the value of the project as £120,000. Is there scope to extend the budget?
The £120,000 budget figure is a lower limit. We have not set a maximum, but value for money will be a key factor in our shortlisting process.  

Do we need to use the exact format in the ‘Schedule of indicative costs’ or are we able to customise as necessary?
Please use the sections provided as sub-headings, as we will score value for money against these. You can adapt and segment within each section to reflect your own approach.

Can we submit a proposal if our system is primarily a grant management system (GMS) with some CRM functionality or integration?
Yes. We understand that some suppliers offer purpose-built grant management systems with CRM modules or integrations. Our requirements cover both CRM and GMS. The use cases and process notes we’ve shared should help you see where your solution fits.
If there are gaps, we welcome proposals that explain how you would address them, either within your system or by working with other providers. 

How many external partners/external users will need access to the system?
At present around 60 partnerships will need their own access. With the delivery of new funding this is likely to increase to around 100. 

What scope is there for discussions and demos before submitting a proposal?
We can arrange short calls and demo opportunities for potential suppliers ahead of submission. You can do this by contacting Yusra Ali on yusra.ali@access-si.org.uk 

If we offer a demo before submitting our tender, will this be judged as part of the procurement process?
No. Demos shared before submission are for information only. We will only assess demos from shortlisted suppliers during the interview stage.
